Salon Brain is a business support, training and technology service created primarily for salon, beauty and wellness business owners. Depending on the plan or service selected, Salon Brain may provide a personalised Salon Brain Core setup, ready-to-use prompts, business templates, enquiry and sales workflows, administrative support, content guidance, training resources, community support, ongoing updates and optional artificial intelligence features.
Nexus Global Holdings LLC FZ is established in Dubai, United Arab Emirates. Because Salon Brain is offered to customers in the United Kingdom and the United States, additional privacy laws may apply according to a person’s location. We aim to apply the protections in this policy to all users, although some rights and legal requirements vary by jurisdiction.

In some circumstances, particularly where a salon customer stores or uses information about its own clients, staff or contacts within Salon Brain, that salon customer is the data controller and Nexus Global Holdings LLC FZ acts as a data processor on its documented instructions. Section 11 explains this distinction.
The information we collect depends on how you interact with Salon Brain and which services you use.
Account and contact information
We may collect your name, business or salon name, job title, email address, telephone number, billing address, country, login details, account preferences, subscription level and account status.
Business and Salon Brain setup information
You may choose to provide information about your business so that Salon Brain can be configured or personalised. This may include:
your salon, beauty or wellness business
your products, treatments and services
your ideal clients and intended audience
your brand voice, values and communication style
your business goals, challenges and working preferences
your opening hours, prices, policies and frequently asked questions
your customer journey, enquiry process and sales process

Payment and transaction information
We may collect information about purchases, subscriptions, free trials, discount codes, invoices, payment status, renewals, cancellations and transaction history. Complete card details are normally collected directly by the payment provider and are not stored by us.

We may retain information you provide when you complete a form, book a call, contact customer support, attend training, respond to a survey, participate in a Salon Brain community, submit feedback or provide a review or testimonial.

AI-generated content may be incomplete, inaccurate or unsuitable for a particular business or client. It is provided as decision support and not as a substitute for your professional judgement. You are responsible for reviewing generated content before relying on it, publishing it or sending it to another person.
You must not use Salon Brain to make unlawful, discriminatory or unfair decisions about clients, workers or other people. Do not enter confidential client records, passwords, complete financial information, medical histories or other highly sensitive material into an AI feature.
We do not use content submitted to Salon Brain to train our own general-purpose AI model. A third-party AI provider may process information according to its agreement with us and its applicable service terms. We select and configure providers with the aim of limiting use of customer information and protecting it appropriately.
Salon Brain does not use solely automated decision-making to make decisions about you that produce legal or similarly significant effects. If this changes, we will provide the additional information and safeguards required by applicable law.
We may send information about Salon Brain services, resources, training, events and updates where you have consented or where another lawful marketing basis applies. In the United Kingdom, we also comply with applicable electronic marketing rules.
You can unsubscribe at any time by using the link in a marketing email or contacting [email protected]. Service, billing and security messages are not marketing and may still be sent where necessary to operate your account.
If you opt out, we may retain limited contact information on a suppression list so that we can respect your preference.
Our website and platform may use cookies and similar technologies to operate essential functions, keep accounts secure, remember preferences, measure website and campaign performance and understand how services are used.

Salon Brain customers may use certain platform, CRM, communication or workflow features to process information about their own clients, prospective clients, employees, contractors or business contacts.
For that information, the Salon Brain customer will normally decide why and how it is processed and will therefore act as the data controller or business. Nexus Global Holdings LLC FZ will normally act as the data processor or service provider and process the information on that customer’s documented instructions.
Customers using Salon Brain in this way are responsible for:
having a lawful basis for collecting and using the information
providing their own clients, employees and contacts with any required privacy information
collecting only the information genuinely needed
keeping information accurate and secure
responding to privacy requests relating to their business
avoiding sensitive information unless its use is lawful, necessary and appropriately protected
reviewing AI-assisted messages, recommendations and workflows before using them
These processing arrangements may also be governed by a separate Data Processing Agreement. This Privacy Policy is not a substitute for the customer’s own salon privacy policy.
Nexus Global Holdings LLC FZ is established in the United Arab Emirates and Salon Brain uses cloud and technology providers that may process information in the United Arab Emirates, United Kingdom, United States or other countries. Using Salon Brain may therefore involve international transfers of personal information.
Where a transfer is restricted by applicable law, we use an appropriate transfer mechanism. Depending on the circumstances, this may include an adequacy decision, the UK International Data Transfer Agreement or UK Addendum, approved contractual clauses, binding contractual safeguards, explicit consent where lawful or another recognised mechanism. We also consider appropriate supplementary security measures where required.
We retain personal information only for as long as it is reasonably required for the purpose for which it was collected, including legal, accounting, security and dispute-resolution requirements.
Our usual retention approach is:
account and subscription information: for the life of the account and a reasonable period after closure
contracts, invoices and transaction records: generally six years after the end of the relevant relationship or financial period, where required for tax, accounting or legal purposes

Salon Brain does not sell personal information in exchange for money. If our use of advertising technology constitutes a sale, sharing or targeted advertising under a law that applies to us, we will provide the required opt-out method and honour legally recognised opt-out preference signals where required.
We will not unlawfully discriminate against you for exercising an applicable privacy right. Where the relevant state law provides an appeal right, you may appeal our decision by replying to our response or contacting [email protected] with the subject “Privacy Appeal”.
We may need to verify your identity before completing a request. An authorised agent may submit a request where permitted by law, but we may ask for evidence of their authority and may verify the request directly with you.
US residents may also have rights under state data-breach notification, email marketing and consumer-protection laws regardless of whether a comprehensive state privacy statute applies to Salon Brain.
Nexus Global Holdings LLC FZ is established in the United Arab Emirates and processes personal information about people inside and outside the UAE. Where applicable, processing is governed by UAE Federal Decree-Law No. 45 of 2021 Concerning the Protection of Personal Data and its implementing requirements, unless a specific free-zone data protection regime applies to the company.
Under applicable UAE law, individuals may have rights to receive information about processing, request transfer of certain information, request correction or deletion, restrict or stop certain processing, object to direct marketing and request review of certain automated decisions. International transfers are handled using a mechanism permitted by applicable UAE law.
A person who believes their information has been processed in breach of applicable UAE data protection law may contact us first using [email protected] and may have the right to complain to the competent UAE data protection authority.
Salon Brain is a business service intended for people aged 18 or over. We do not knowingly offer accounts to children or collect personal information directly from them. Customers must not use Salon Brain to profile children or enter children’s personal information unless the activity is lawful, necessary and expressly supported by the relevant service.
Salon Brain may contain links to third-party websites, applications or services. Their privacy practices are governed by their own notices and are not controlled by this policy. You should review the relevant privacy information before providing personal information to a third party.
We may update this Privacy Policy when our services, technology, providers or legal obligations change. The latest version will be published on our website with an updated effective date. Where a change materially affects how we use personal information, we will provide additional notice where required.
